Ad-hoc Bundles

What it does

Build ad-hoc bundles on the fly when putting together an invoice or estimate. This lets you track all the inventory items and even labor that go into a bundle, but show the bundle as a single line item on the invoice or estimate so that the customer doesn't see everything that goes into it.

 

What it doesn't do

Save the bundles for re-use on future invoices or estimates. However, you can build pre-defined bundles in the Inventory module.

 

 

Two ways to build bundles

There are two ways you can go about building a bundle.

  1. Add all the items, then name the bundle afterwards.
  2. Name the bundle, then add all the items that go into it.

We will cover how to do both on an invoice, but they work the same on an estimate.

 

Add items to be bundled first

This is typically done when you add items to an invoice or estimate, then decide you want to bundle some or all of them into a single line item.

  1. Open or create an invoice or estimate.
  2. Scroll down to the LINE ITEMS section.
  3. Add as many items to the invoice as desired—both labor and products.
  4. Note: If you add any serialized items, make sure to Select serials before building the bundle.
  5. After adding the items, to the right above the EXTENDED section, click Create Ad-Hoc Bundle.
  6. Give the bundle a Name and Description.
  7. Click Create Adhoc Bundle.
  8. This will display the CREATE AN AD-HOC BUNDLE screen where you can make further adjustments.
    1. In the Bundle Information section, you can change the Name, Description, and Price Retail, but not the cost or margin.
    2. Use the Add Items to the Bundle section to add additional items if needed.
    3. In the Bundle Line Items section, click Remove by any item you do not want in the bundle, and it will move down to the Non-Bundle Line Items section.
    4. Likewise, in the Non-Bundle Line Items section, click Add by an item to move it up to the Bundle Line Items section to be included in the bundle. Note that any items in this section that came from the invoice or estimate will remain there, but any items added on this screen will disappear once you save.
  9. When finished, click Save.
  10. You will then see the bundled line item on the invoice, which is what the customer will see. If you click the down-arrow button on the right...
  11. ...then you will see all the items contained in the bundle. The customer never sees this.
  12. There is no ability to edit the bundle. You will need to delete it by clicking the red X on the right, then create a new one.

 

Name the bundle first

This is when you know ahead of time that you want to create a bundle.

  1. Open or create an invoice or estimate.
  2. Scroll down to the LINE ITEMS section.
  3. Above the EXTENDED section on the right, click Create Ad-Hoc Bundle.
  4. Give the bundle a Name and Description.
  5. Click Create Adhoc Bundle.
  6. This will display the CREATE AN AD-HOC BUNDLE screen where you can build the bundle.
  7. In the Add Items to the Bundle section, enter a Product Name you want in the bundle, click the one you want in the list that appears, and click Add. Repeat to add all the items in the bundle you want. It will automatically calculate the total in the Price Retail field as you add items.
  8. Note: If you add a serialized item, it will not show the quantity or calculate the Price Retail until you save the bundle and select the serial number.
  9. The bundle will include all items that were already on the invoice or estimate. In the Bundle Line Items section, click Remove by any item you do not want in the bundle, and it will move down to the Non-Bundle Line Items section.
  10. Likewise, in the Non-Bundle Line Items section, click Add by an item to move it up to the Bundle Line Items section to be included in the bundle. Note that any items in this section that came from the invoice or estimate will remain there, but any items added on this screen will disappear once you save.
  11. If desired, in the Bundle Information section change the Price Retail from the automatically calculated total.
  12. When finished, click Save.
  13. You will then see the bundled line item on the invoice, which is what the customer will see. If you click the down-arrow button on the right...
  14. ...then you will see all the items contained in the bundle. The customer never sees this.
  15. If you added any serialized items, after you click that down-arrow, click Select serials by the item(s) and choose the serial number(s). You will then see the correct prices and totals.
  16. There is no ability to edit the bundle. You will need to delete it by clicking the red X on the right, then create a new one.
